RoboForm primary product is a browser extension that slots right on top of most of the common web browsers, with a dashboard accessible within the browser itself. A standalone application is available, though Roboform strongly encourages use of its browser extension for most tasks. In fact, the desktop app even requires the extension to be installed to function properly.
While the functionality is similar between the browser extension and desktop application, the interface is different. Personally, I preferred the browser extension — it was more modern and user-friendly than the visually outdated desktop version.
RoboForm UX

RoboForm’s user experience offers a basic interface lacking in some of the modern designs of its competitors. That said, it’s easy to navigate with convenient one-click logins and it’s the only password manager that organizes your bookmarks.
The RoboForm browser extension has four main sections in the left toolbar to help you manage your account: All, Logins, Safenotes, and Identities.
All displays every item in your RoboForm account.
Logins shows you only the login accounts it has stored.
Safenotes allows you to store information such as PINs and safe access codes
Create Identity allows you to fill out personal information, such as name and address, for auto-filling forms
Further down on the left-hand side of the browser are four additional categories:
Security Center evaluates your saved passwords and suggests actions for further security
Sharing Center allows you to share information folders with another user
Emergency Access lets you select a trusted contact to securely obtain access to your RoboForm data in the event of death, incapacitation, or simply for account recovery
The standalone application, however, felt a bit messier and harder to navigate.
While there are useful additions such as “Contacts” and “Bookmarks,” the folder structure feels outdated, clunky, and potentially confusing for some users. With the availability of the browser extension and its better UX, it’s hard to recommend the standalone application.
It feels like this is something that RoboForm is aware of since the ability to download and use the standalone app is obscured on the website, hidden by default. It seems even the company itself would prefer you to just use the browser extension with the application being pushed to the side as an alternative for those who prefer an older organizational system.
RoboForm Form Filling

RoboForm’s form-filling feature consistently earns high mareks for handling complex forms with speed and accuracy. Creating data sets for automatic form filling is a breeze, thanks to the “Create an Identity” feature.
Automatic form-filling works exactly as expected, though the ability to preemptively create data sets gives you a greater level of control over the process. When navigating to an online form, RoboForm will ask you which identity you would like to use and will populate the form using that particular identity’s data set.
You’re not limited to a fixed number of identities, and each can be edited and updated through either the browser extension or app as needed.
RoboForm Security

RoboForm has excellent security thanks to its zero-knowledge architecture, AES 256-bit encryption, and local-only data storage—ensuring that only you can access your vault. It also includes a built-in Security Center that monitors for breached sites and evaluates password strength, offering proactive protection against threats.
RoboForm has several ways to keep your data secure. The first is its “master password” system, which encrypts your passwords and information directly on your device, not its servers. RoboForm cannot access your data because the password is stored directly on your device and never transmitted to their servers.
It also uses AES 256-bit encryption. AES is one of the most secure and trusted systems in the world. It’s been widely adopted in multiple industries that need extremely high levels of security.
RoboForm’s security center will also alert you to potential data breaches at websites where you have accounts and evaluate your current passwords for redundancy and strength.
RoboForm Multifactor Authentication

RoboForm earns high marks for multifactor authentication thanks to its flexible support for OTP, SMS, email, and built-in TOTP across all devices, which offers users multiple secure login options. Its integrated authenticator and per-account 2FA settings make it highly secure and convenient for everyday use.
With data leaks common, sometimes a simple password just isn’t enough, which is why RoboForm allows you to add an additional layer of security with multifactor authentication.
This option can be activated individually for each saved account on RoboForm. It allows you to require a one-time password (OTP) sent to you via email, text message, or time-based one-time password (TOTP)-based two-factor authentication (2FA) before logging into that account.
While you may not want this for every account you manage, it’s great for sensitive accounts such as your bank, mortgage lender, or other financial services.
Also, RoboForm’s built-in TOTP authenticator is available on all of its desktop and mobile clients, which means you don’t need to switch between devices when logging into sites that require TOTP.
RoboForm has expanded its authentication options for both Passwordless Unlock and Two-Factor Authentication. Users can now authenticate using another trusted device (like a smartphone) or a hardware security key (such as Yubikey or Google Titan). These features are available on both Free and Premium plans. Additionally, RoboForm now allows passkeys to be used for unlocking the app and as a 2FA method, enabling secure, password-free access.

I signed up for RoboForm’s free and premium plans to test and research:
Plan value: Most password managers offer various subscription plans from free to around $20 per month. While free plans may be sufficient for some, those who need more functionality may prefer paid plans.
Platform compatibility: You likely access your online accounts from multiple devices, including desktops, laptops, tablets, and phones, as well as through different web browsers. Your password manager should be compatible with various devices, operating systems, and browsers, and sync seamlessly between them all.
UX: This is how you interface with all the features and functions of your new password manager — if it’s bad, you’ll be less likely to use the service. While this is a highly subjective category, and some will disagree, it’s important to provide an overview based on my experience.
Form filling: A password manager doesn’t have to include form-filling, but it’s somewhat standard, and the ease with which it performs that function can be the deciding factor in which password manager you ultimately choose.
Security: Since a password manager is, first and foremost, a security tool, it should come with all of the most up-to-date standard security features.
